The role
We are seeking a highly organized, proactive, and versatile Paralegal & Team Assistant to support our dynamic Legal and Finance departments. This dual-functioning role is the operational backbone of both teams, splitting time between legal administrative support (contract management, document drafting, corporate governance) and team administration (scheduling and basic reporting).
The ideal candidate is a detail-oriented problem solver who thrives in a fast-paced environment, possesses excellent communication skills, and can handle sensitive information with absolute discretion.
What you’ll do:
Legal Support & Paralegal Duties
Contract Administration: Manage the end-to-end lifecycle of contracts, including preparing initial templates, tracking approvals, routing for digital signature (e.g., DocuSign or Adobe Sign), and maintaining the organized digital archive and file structure.
Document Drafting: Assist in drafting, proofreading, and formatting basic legal documents, corporate resolutions, non-disclosure agreements (NDAs), and correspondence.
Corporate Governance: Assist with corporate filings, maintaining entity management records, compliance administration and organising materials for board or committee meetings.
Legal Administration: Assist with administrative tasks related to litigation matters, administration of matters and liaison with external counsel.
Legal Research: Conduct preliminary research on regulatory updates, compliance standards, or specific legal questions as directed by Legal Counsel.
Finance & Administrative Support
Calendar & Meeting Management: Coordinate schedules, book travel, and organize internal/external meetings for the Legal and Finance teams.
Corresponding with vendors and external service providers: be the point of contact for vendors and external service providers, responding promptly to emails and actioning accordingly.
Cross-Functional Liaison: Serve as a primary point of contact between Legal/Finance and other internal departments (e.g., HR, Sales, Tech, Product and Marketing) to ensure seamless workflow integration.
What we’re looking for:
Experience: 4+ years of experience as a Legal Assistant, Paralegal, or Team Assistant in a fiduciary business function, preferably supporting a corporate legal, finance, HR or operations department.
Tech-Savvy: High proficiency with Google Workspace applications, Microsoft Office 365 (Word, Excel, PowerPoint) and electronic signature tools (such as DocuSign and Adobe Sign).
Organization: Exceptional organizational and time-management skills, with a proven ability to prioritize tasks from two different departments effectively.
Discretion: High level of integrity and ability to maintain strict confidentiality regarding sensitive legal, financial and employment data.
Communication: Crisp, professional written and verbal communication skills.
Self starter: Work exceptionally well independently, managing your own time and priorities effectively.
